Terms of Payment & Cancellation Policy
Please ensure this Terms of Payment & Cancellation Policy has been read and fully understood at the time of your booking.
– The following Terms of Payment & Cancellation Policy together with our Booking Procedure and Agreed Rates & Invoice forms the general agreement between the Facilitator / Organiser and The Quadrangle.
– The Quadrangle reserves the right to vary the Terms of Payment & Cancellation Policy and rates at any time.
– All rates shown in any booking confirmation will be honoured by The Quadrangle.
– All equipment onsite remains the property of The Quadrangle at all times.
– All payments made to or by The Quadrangle shall be made in pounds sterling.
Noise, breakages and cleaning deposit
Whole Site: £200
The Granary, Shepherds Barn and the Big Barn: £150
Shepherds Barn and the Big Barn: £75
The Granary: £75
This is a required to help us keep prices as accessible as possible and ensure that our spaces are used with consideration for the family belongings, housekeeping staff and our neighbours.
Unlike most centres or booking sites we do not change an automatic cleaning fee. As far as possible, we ask that our guests leave our site “as they found it”. This is best achieved by following the instructions that will be sent to you before your arrival and sharing them with your guests or participants.
This deposit will be returned to you in full if there are no noise disturbances, breakages or cleaning issues. We don’t have full time staff at the Quadrangle and so pay our freelance housekeeping staff by the hour for anything left undone (i.e. taking bottles to the bottle bank, moving heavy furniture back into place or fixing/replacing broken or missing items), and these costs will be subtracted from the refund of the deposit. If the cost of damage is above the deposit amount an invoice will be sent.
The support of our close neighbours is very important to us and disturbance by repeated noise from our guests will mean we are unable to return the deposit.
Any remaining deposit will be returned within two weeks of your departure.
For a Workshop, Retreat or Event
The following conditions apply:
– The Quadrangle is not responsible for any costs (transport, catering etc.) incurred outside of the Agreed Rates.
– We reserve the right to cancel the retreat at any time. If this should happen we would give a full refund.
– The Facilitators / Organisers are responsible for ensuring that all Guests / Participants are able to use our facilities and participate in the planned activities.
– If your workshop, retreat or event is catered for please notify your chosen caterer of any special dietary requirements that you or your group may have. The Quadrangle is unable to accept any responsibility for the catering of your booking.
Reserving Dates, Terms of Payment and Cancellation Policy
– A non-refundable reservation deposit of 50% of the minimum fee (worked out with Jessie and the team) is required to reserve the dates you wish to come.
– The remaining 50% is to be paid one week prior to your retreat/workshop/event when numbers are confirmed. We understand this flexibility is important for your planning.
– A ‘noise, breakages and cleaning’ deposit (see above) will also be required as a separate deposit one-week prior to your retreat/workshop/event.
– Please pay invoices via BACS Transfer. Should you need to pay by credit card then please get in touch with us.
– For cancellations 12 weeks before your booking date 50% of the reservation deposit will be refunded.
– For cancellations between 12 and 6 weeks before your booking date the reservation deposit is retained.
– For cancellations under 6 weeks we ask the full minimum agreed fee.
Covid Cancellation Policy
If you have to cancel as a direct result of Government restrictions relating to COVID-19, we will roll your booking over to the equivalent available dates of the following year(s). Alternatively, if you cancel with no plan for a future date, we will refund all monies paid, less any expenses already incurred (i.e. admin fee for processing payments and refunds).

Statement of Responsibilities for site hire
At The Quadrangle we will do the best we can to provide a safe space and we need everyone’s help including all guests and participants to achieve this.
The Quadrangle is responsible for:
– Providing a safe and clean space and following covid-19 cleaning protocols
– Providing appropriate facilities
– Having a written policy on health and safety and a risk assessment
– Public Liability Insurance for buildings
– Having provided organisers with information on:
Fire safety and evacuation
Accident and emergency procedures
First Aid
Visiting facilitators/organisers are responsible for ensuring that:
– All users/guests/visitors are aware of your project’s covid-19 risk assessment, cleaning, health & safety protocols and social distancing regulations
– They have their own public liability insurance that covers their activities and that they understand that The Quadrangle’s public liability insurance is for the venue i.e. accidents caused by any problems or hazards relating to the buildings.
– The Quadrangle is supplied with appropriate information about the group
– All users read the instructions and are aware of fire extinguishers and exits
– There is no smoking or use of candles in buildings/barns
– All users are aware of uneven surfaces and hazardous areas around The Quadrangle especially on the gallery and stairs in the Big Barn
– Participants are well briefed on boundaries of The Quadrangle land and buildings and aware of neighbours’ privacy
– Catering meets the government hygiene and safety practices and requirements
– Any meeting or activity carried out in communal spaces will be by agreement with other occupants
– There is no parking in the yard or obstruction of lane. Access to be clear at all times
– Energy is conserved by turning off lights, radiators, computers and anything on standby and water conserved wherever possible.
– All rubbish is recycled as far as possible.
– As far as possible, we ask that our guests leave our site “as they found it”.
– Should a member of your group display symptoms during your stay or for 14 days after you leave, or test positive for Covid-19, it is imperative that you inform us.
We ask all visitors and guests to ensure:
– They arrive here free of any Coronavirus symptoms and have informed the organisers before setting off if you have been in contact with anyone with Covid-19 symptoms.
– They are briefed on cleaning, health and safety policy re Covid-19, the boundaries of The Quadrangle land and buildings and aware of neighbours’ privacy.
– They maintain a safe social distance from others who aren’t in their household/bubble.

Liability
The Quadrangle does not accept liability for loss of property, personal injury or any accident during your stay.
All information on our website is correct to the best of our knowledge at the time of going to press. However, due to circumstances beyond our control, some details of set up of spaces or workshops/events may differ to the description.
